China Sourcing Agent for Brands That Care About Quality

A China sourcing agent is your team on the ground in China: it finds and vets manufacturers, manages samples and production, inspects goods before shipment and arranges shipping for you. Owl Sourcing is a Shanghai-based China sourcing agent for quality-focused brands, sourcing since 2016 and working to your exact specification, the way a bespoke tailor does.

We quote one all-in unit price, or a 5–10% service fee if you already have a supplier you want us to manage.

The role

What a China sourcing agent does

A China sourcing agent represents you, the buyer, in China: it chooses and manages the suppliers and is accountable to you for the result. Some agents stop at an introduction to a factory; Owl Sourcing stays responsible until your goods pass inspection and leave China. Some buyers call the same role a procurement agent; what matters is the written scope, not the title.

You brief, approve and pay; we handle everything in between.Who does what

What you do

  • Share your brief: the product, target quantity, target cost and timeline.
  • Approve the sample.
  • Approve the written inspection standard.
  • Pay the agreed price.

What we handle

  • Everything in between, from finding the right factory to your goods leaving China (the six steps below).
  • Regular progress updates by email or call.
  • Rework, re-inspection and delay costs under the all-in unit price.
  • One accountable team, so you never chase a chain of suppliers.

How we work

How our China sourcing services work, step by step

Like a good tailor, we take your measurements, fit through a few rounds and only finish once it is right. Our China sourcing services follow six steps.

Brief → suppliers → samples → production → inspection → shipping.See the 6 steps
  1. 1

    Brief and measurements

You share drawings, a reference sample or a clear idea, plus target quantity, target cost, materials, packaging and the market you sell in. We ask the questions a factory will ask later, so the specification is complete before anyone quotes.

  2. 2

    Supplier search and vetting

We shortlist and check manufacturers, then give you a clear comparison and our recommendation.

  3. 3

    Samples and fittings

Each sample round is checked against your specification before it reaches you, with photos and notes. Nothing moves to production until you approve a sample.

  4. 4

    Production follow-up

Our team stays close to the order and sends regular progress updates by email or call, so you always know where it stands.

  5. 5

    Inspection before shipment

Each order is inspected before it ships, against the approved sample and the written inspection standard. When the order needs it, we carry out 100% checks at our Shanghai warehouse.

  6. 6

    Shipping and handover

We prepare export paperwork and arrange shipping to your warehouse, 3PL or Amazon FBA. Freight is quoted separately.

Your first project. Most first projects run through these six steps with one to three sample rounds, depending on how custom the product is. Sampling usually takes 2–4 weeks and mass production usually 30–45 days, depending on the product. We give you a realistic schedule after reviewing your brief.

Pricing

China sourcing agent fees: how our pricing works

Most sourcing agents charge a commission on the order, a fixed fee, or build their margin into the product price. We offer two models and tell you up front which one applies.

Option 1 · Full service

All-in unit price

One price per unit when we find and manage the supplier.Read more

When we find and manage the supplier, we quote one price per unit. It includes:

  • the product made to your approved specification;
  • our sourcing work, supplier vetting and negotiation;
  • sample management (samples and sample shipping are charged separately, at cost);
  • production follow-up and regular progress updates;
  • quality control and inspection before shipment.

Freight is quoted separately. Packaging (retail boxes, labels, cartons) depends on the project and is stated clearly in each quote. There is no separate service fee on top. The all-in price includes our margin; we don't present it as a factory price. It is the price you pay for goods that meet the standard you approved.

Option 2 · Your supplier

5–10% service fee

For brands that already have a factory.Read more

If you already work with a factory and want an accountable team on the ground, we manage that supplier for 5–10% of the order value, depending on order size and scope.

Under the all-in unit price, if goods fail inspection, Owl Sourcing absorbs the cost of rework, re-inspection and the delays they cause. You pay the agreed price for goods that meet your standard, not for the fixing.

Quality control

Quality control before your goods leave China

Quality is where a sourcing agent earns its fee, so we make our standard visible from the start.

Approved sample, written standard, inspection before shipment.Read more
  • Approved sample and written standard

Before you order, we agree the reference ("golden") sample and a written inspection standard: dimensions, materials, finish, function, labeling and packaging.

  • Inspection before shipment

Each order is inspected before it ships, against that sample and standard.

  • 100% checks when the order needs it

For finish-sensitive goods, gift sets or new lines, we carry out 100% checks at our Shanghai warehouse, and tell you up front when we recommend it.

  • Reports you can read

Photos and a clear pass/fail summary, not a stack of jargon.

  • Rework is on us

    Under the all-in price.

What we share, and what we don't. We show you the approved samples, the inspection standard and the inspection results before you commit. We don't disclose the identity of the factories we work with. Owl Sourcing is the party accountable to you for the result.

Sourcing agent vs Alibaba, a trading company or going direct

There is more than one way to buy from China. Here is how the options compare.

Checklist

How to choose a sourcing agent in China

Whoever you hire as your sourcing agent for China, ask these questions before you send money:

8 questions to ask any sourcing agent in China before you send money.See the checklist
  1. 1

Is there a real team in China you can talk to?

A named founder, an office and people who visit suppliers.

  2. 2

    Is the scope written down?

Supplier search, samples, production follow-up, inspection and shipping, each with a clear deliverable.

  3. 3

    How are they paid?

Commission, fixed fee or all-in price, stated in writing, with no surprises later.

  4. 4

Who pays if goods fail inspection?

Ask who covers rework, re-inspection and delays. Many agents leave this with you.

  5. 5

Is inspection tied to your approved sample?

A written standard, photos and a pass/fail result, not a verbal "all good".

  6. 6

Do they know your category, and say no to others?

An agent who sources everything rarely knows anything deeply.

  7. 7

How will they keep you updated?

Agree how and when you hear about samples, production and inspection.

  8. 8

    What will they share?

Agree what you'll see (samples, standards, inspection results) and who is accountable for the outcome.

The safest start is one real but limited first order, so you can judge the team on how it handles questions, samples and problems.

Who we work with, and who we are not for

We are a good fit for brands that plan to reorder, build a product line over several seasons and care about how their products feel in a customer's hands: DTC brands, Amazon sellers with their own label, retailers and product companies.

We are not the right partner for the lowest possible quote on a one-off order, a catalog to pick from, or a trial order with a marketplace seller.

Long-term

Built for long-term partnerships

Specs on file, the same team, regular progress updates.Read more

The value of a sourcing agent grows with every order. We keep your specifications, approved samples and inspection standards on file, watch for quality drift between reorders and keep the same team on your account.

Regular progress updates, from people you actually talk to. We update you by email or call at the points that matter: samples, production start, mid-production checks, inspection results and shipping. If something slips, you hear it from us first.

China sourcing for Amazon sellers, UK and US brands

FBA-ready labeling, calls at a time that suits you, no middle layer.Read more

Many of the brands we work with sell into the US, UK, Canada, Europe and Australia/New Zealand.

  • Amazon sellers: we build your labeling and packaging requirements into the specification and inspection standard, and ship to Amazon FBA or your 3PL.
  • Our team is in Shanghai. We have no office in the UK or US; you work directly with the team in China.
  • Time zones. We schedule calls at a time that suits you, and send written updates you can act on without a call.
  • Your market's requirements. You tell us the standards and labeling your market requires; we build them into the samples and inspection. You remain the importer.

What we source, and what we don't

Consumer and lifestyle products; no drones, medical or precision parts.Read more

We work on consumer and lifestyle products where design, materials and finish make the difference, such as home and kitchen, gift sets, pet products, custom packaging, bags and accessories, outdoor and sports products, and other custom products.

We don't source drones, firefighting equipment, dental or medical products, or precision parts and other products that depend on heavy technical certification. We would rather say no early than take on work outside our expertise.

FAQ

China sourcing agent FAQ

12 questions on fees, MOQ, timing, samples and Amazon FBA.Show questions

What does a China sourcing agent do?

A China sourcing agent finds and vets manufacturers, manages samples and production, inspects goods before shipment and arranges shipping on your behalf. At Owl Sourcing, we do this as your own team in Shanghai, working to your specification, and we stay accountable for the result until the goods ship.

How much does a China sourcing agent cost?

Agents usually charge a commission, a fixed fee or a margin inside the product price. Owl Sourcing offers one all-in unit price when we find and manage the supplier, or a 5–10% service fee when you designate the supplier. There is no extra service fee on top of the all-in unit price; freight, samples and sample shipping are charged separately.

Who pays if goods fail inspection?

Under the all-in unit price, Owl Sourcing absorbs the cost of rework, re-inspection and the delays they cause. You pay the agreed price for goods that meet the sample and written standard you approved, not for the work needed to fix them.

Is there a minimum order quantity?

It depends on the product and the factory. Custom products usually need a minimum run that makes tooling and setup worthwhile. Tell us your target quantity and we will tell you honestly whether it is realistic before you spend money on samples.

How long does sourcing from China take?

It depends on how custom the product is, the materials and the order size. Most projects move through brief, supplier shortlist, one to three sample rounds, production, inspection and shipping. Sampling usually takes 2–4 weeks and mass production usually 30–45 days, depending on the product. We give you a realistic schedule after reviewing your brief, rather than a generic promise.

Do I need to visit China?

No. Our Shanghai team visits suppliers, manages samples and inspects goods for you. You approve samples and the inspection standard from home, receive regular progress updates by email or call, and see inspection results before your goods ship. You are welcome to visit, but it is not required.

Can I get samples before placing an order?

Yes. Nothing goes into production until you approve a sample. We manage sample rounds, check each one against your specification and send you photos and notes, so the samples you receive are already close to what you asked for. Samples and sample shipping are charged at cost.

Do you work with Amazon FBA sellers?

Yes, with Amazon sellers who have their own label and plan to reorder. We build labeling and packaging requirements into the specification and inspection standard, and ship to Amazon FBA or your 3PL. We are not the right fit for one-off trial orders from a marketplace listing.

Do you inspect every unit?

Each order is inspected before shipment against your approved sample and written standard. When the order needs it, for example finish-sensitive goods or a new line, we carry out 100% checks at our Shanghai warehouse, and we recommend this up front where it makes sense.

Will you tell me which factory makes my product?

No. We show you the approved samples, the inspection standard and the inspection results before you commit, but we don't disclose factory identities. Owl Sourcing is the party accountable to you for the result, so the responsibility for quality stays with us.

What products don't you source?

We don't source drones, firefighting equipment, dental or medical products, or precision parts and other products that depend on heavy technical certification. We work on consumer and lifestyle products such as home and kitchen, gift sets, pet products, custom packaging, bags, outdoor goods and other custom products.

Do you have an office in the UK or the US?

No. Our team is based in Shanghai. We work with buyers in the UK, the US and elsewhere by email and scheduled calls, and ship to your warehouse, 3PL or Amazon FBA, so you deal directly with the people handling your order.
